To allow all GauchoSpace users to view your course materials, follow the instructions below. This situation may arise when you have a long waitlist. We generally recommend that you turn off guest access a few days after add codes have been distributed.
Note: There is no "Guest access" setting in the main course "Edit Settings" until after you enable guest access.
1. Go to the Administration block and click Users to show a list of user options.
2. Click on Enrollment methods.

3. There is an option for Guest access within Enrollment methods. Click on the eye to unhide the option to grant guess access. Click on the gear icon to edit the settings for your Guest Access, such as adding a password for access.

4. There is now an option to select Guest access under Users in the Administration block, if you want to make any changes to the settings or disable Guest Access.

Note: Granting Guest access will allow your site to be visible to waitlisted students. You can also allow crashing students to enroll (explained in the second menu option of this article) into your course site if you would like them to participate in discussion forums and upload assignments.
You want to allow all GauchoSpace users to view your materials, but you also want to provide an option for the course crasher to become a participant in your course website if they choose. In this scenario, course crashers can turn in assignments and/or participate in discussion forums.
1.Log in to GauchoSpace and enter your course site.
2. In the Administration block click Users, then click Enrollment Methods.
3. Next to Course Crasher (Student), click the eye icon to open the eye.

4. Next to Course Crasher (Student), click the gear icon to change the settings.
5. Next to Allow new enrollments, select Yes from the drop-down menu. NOTE: You can limit the amount of time a course crasher is enrolled in the course by changing the settings for enrollment duration.

6. At the bottom of the page, click Save changes.
Note: Allowing people to join the course site will allow waitlisted students to fully participate in your gauchospace.
In certain situations, you may want to allow specific course crashers to enroll themselves in your GauchoSpace course site. To do this, you will need to create an enrollment key through GauchoSpace that will allow these students to enroll themselves in your course site as a Course Crasher. This does not mean a student is enrolled in the course, just that they are able to view and participate on GauchoSpace. Enrollment in the course must still occur in GOLD.
1. Log in to GauchoSpace and enter your course site.
2. In the Administration block click Users, then click Enrollment Methods.

3. Next to Course Crasher (Student), click the eye icon to open the eye.
4. Next to Course Crasher (Student), click the gear icon to change the settings.

5. Next to Allow new enrollments, select Yes from the drop-down menu. NOTE: You can limit the amount of time a course crasher is enrolled in the course by changing the settings for enrollment duration.
6. Enter a simple word in the Enrollment key text box. This will be the password that you will provide to the course crasher(s).
7. At the bottom of the page, click Save changes.

8. Share the Enrollment key that you entered with course crashers so they can enroll themselves in the course site.
Note: this does not mean a student is enrolled in the course, just that they are able to view and participate on GauchoSpace. Enrollment in the course must still occur in GOLD.
Gauchospace provides different options for opening the course to course crashers (as explained on the second menu option of this article). On the image below you will see the different options in the Course Crashers settings. The options provided are described below:
- You will be able to enable an Enrollment key so students will not be able to join your course unless they have this sort of password (provided by you as the instructor).
- The Default assigned role determines the role users will have once they join your course.
- You can set up the Enrollment duration option if you only want crashers to be able to participate in your class for a specific amount of time (days).
- The Notify before enrollment expires options allows Gauchospace to notify users that their enrollment in the course is about to expire. Note: If activated, Gauchospace will still send a message (via email) to course crashers even if they have enrolled via GOLD, this alert message will ask the students to ignore the warning if this is the case.
- The Notification threshold setting allows you to set up how many days in advance you want the notification of enrollment expiration to be sent to users.
- The Start date and End date options allow you to set a time window to allow course crashers to join the course.
- The Unenroll inactive after option allows Gauchospace to identify inactive course crashers and unenroll them for the course if they have been inactive for the amount of time you selected.
- You can set up a maximum number of course crashers enrolled in your course in the Max enrolled users option.
- The Send course welcome message and Custom welcome message options allows you to activate a welcome message to course crashers AND to write a welcome message respectively.
