GauchoSpace now allows instructors to manage users and enrollments from a unified Participants page. Previously, these two tasks were accomplished in separate areas. To enter the Participants page, hover over the This Course menu at the top of any page within your course site. Then, select People. You will be taken to the new Participants page.
Search by keyword or filter
The Participants page now includes a search tool where you can type information, such as a student's or group's name, or use it as a dropdown menu to filter by various options such as by role or period of last activity.
Add Users and Create/Manage Groups
The option to add a user is now available as a button on the Participants page. This will take you to the previous interface for adding either a UCSB or non-UCSB user. The Manage Group button also remains, and serves as the easiest way to create and manage manual groups in a course.
Change User's Role(s) or Group(s)
The Participants page allows for quick access to changing a user's role or group. In the row associated with the desired user, select the pencil icon in either the "Roles" or Groups" column to quickly make a change to the respective property.
Active and Suspended Students
The last column of the Participants page shows a user's current status in the course. "Active" indicates that the user is currently enrolled and an available user in the course. A "Suspended" status indicates that a user was at one time in the course, but is not present any longer.
This is most often because the student dropped from the course. Their data and information is maintained in GauchoSpace for data loss prevention reasons. For example, if a student dropped after submitting assignments, posting in a forum, etc., but then re-enrolled, this would be problematic if their data were permanently erased. Suspended users are not shown in the gradebook.
Changing User Status
Clicking the "i" enclosed in a circle will give you details about the user's enrollment, such as if they were added manually by an instructor into the course of if they were auto-enrolled by GOLD/STAR.
The cogwheel option allows a user to control details of the user's enrollment, such as a start and end date. This may be useful in situations where a GauchoSpace course site is used as a project site for a department training, for example. However, it is not recommended to manually adjust enrollment information for students in regular academic courses that sync with GOLD/STAR.
The "X" allows for a student to be manually unenrolled from a course. This will not override registrar data: if GOLD/STAR indicates that the student is still enrolled on the next sync, they will reappear in the course as active. However manual users, such as a course visitor for example, can be unenrolled if needed.
