The Assignment Grading Workflow feature allows instructors to determine when students receive grading notifications for submitted assignments.
Instructors can view the workflow status of a student's grade at any time as it goes through the following phases: Not graded, In grading, Grading completed, In review, Ready for release, and Released.
- Not graded - the grader has not yet started.
- In grading - the grader has started, but not yet finished.
- Grading completed - the grader has finished, but might need to go back for checking/corrections.
- In review - the grading is being reviewed by the instructor.
- Ready for release - the instructor is satisfied with the grading but wants to wait before giving students access to the grading.
- Released - the student can access the grades/feedback. This will also generate an email to the student indicating that the grade is available for review.
Students can only view their grade once it is released and will receive a notification that their grade is available, even if the assignment is hidden from students.
Grades can be released individually or in batches.
To turn on assignment grading workflow:
- Log in to GauchoSpace and enter your course site.
- Find the assignment that you want to use grading workflow and click Edit settings.
- Scroll down to the Grade section and click the arrow to expand the options.
- Set Use grading workflow to Yes.
- At the bottom of the page, click Save and display or Save and return to course.
You can change the state of multiple assignments from one phase to another. Note: All selected items must be in the same phase to move to a new phase together.
The example below demonstrates moving all submissions to the Released phase.
- Log in to GauchoSpace, enter your course site, and click the assignment link for the assignment you want to grade.
- Click View all submissions.
- Use the Filter at the top of the page to show only Submitted assignments.
- Click on the "Select" checkbox at the top of the list of submissions to select all of the submissions to change the workflow state for or click on the individual checkboxes to select specific submissions to change the workflow for.
- Scroll to the bottom of the list of students. Use the "With selected..." drop-down menu and select "Set grading workflow state" then click "Go".
- A pop-up will appear asking whether to set the grading workflow state for all submissions. Click "OK".
- You will then see a page listing all of the submission that have been selecting for changing the workflow state, use the drop-down menu at the bottom of the page "Grading workflow state" and select the "Released" workflow state and click Save Changes.
The submissions will then be released.
Instructors can assign grades and change workflow states for individual submissions using the following instructions.
- Log in to GauchoSpace, enter your course site, and click the assignment link for the assignment you want to grade.
- Click View all submissions.
- Select Grade for the submission you would like to grade.
- Assign a grade to the student. Add any feedback or feedback files and change the Grading workflow state to one of subsequent phases:
- Grading completed - Use this if another grader in the course will review the initial grade.
- In Review - Use this to let other graders know that you are reviewing the grade for this student's submission.
- Ready for release - Use this to indicate that the grading is complete, but will not send a notification to the student.
- Save changes. You can move to the next user using the arrows at the top right of the page.
Note: You can also make all changes on the view all submissions page by using quick grade. You can enter the grade, text comments, and change the grading status for each student and save your changes using Save all quick grading changes at the bottom of the page.
- Log in to GauchoSpace, enter your course site, and click the assignment link for the assignment you want to grade.
- Click View all submissions.
- Select each student you want to release grades for by checking the box next to their name. To select all students, click the top box under Select, which will highlight all students.
- Scroll to the bottom of the list of students. Go to the With selected... drop-down menu and select Set grading workflow state then click go. A pop up will open asking you to confirm you want to change the grading workflow states.
- The Set grading workflow state page will open. Scroll to the bottom of the page, and from the Grading workflow state drop-down, select Released. To send an automated message letting students know their assignment has been graded, for Notify Students, select Yes.
- Click Save changes.
